Job: Properties Manager in Guildford
We are recruiting for a part-time Properties Manager
This is a unique opportunity to join our friendly team. The ideal candidate will be an experienced, appropriately qualified property professional with an interest in the maintenance of historic buildings. You will be responsible for ensuring our buildings, gardens and site are safe, well maintained and fully compliant for residents, staff and visitors.
This will include responsibility for the day-to-day responsive repair works, statutory compliance, minor projects and planned works to its buildings and plant including cyclical and long-term maintenance.
You will be self-motivated and organised in your approach and able to work independently for much of the time.

Job specification
- Position: Properties Manager
- Hours: 24 hours per week averaged over the calendar year, worked at times to be agreed
- Location: Guildford; some element of working from home by agreement
- Contract: Permanent following probationary period
- Salary: £35-45,000 FTE depending on experience
- Pension: Eligible for auto enrolment (3% employer, 5% employee)
- Annual Leave: 144 hours plus bank holidays FTE

Person specification
- Relevant professional qualification or relevant experience.
- Experience and understanding of relevant legislation relating to housing, health and safety, fire safety, building regulations, gas and electrical safety.
- Experience of managing properties, housing and/or facilities, including management of risks and all health and safety requirements, and understanding of the regulatory and compliance context.
- Experience of project managing and delivering works and service contracts.
- Experience of undertaking property surveys and specifying and tendering minor and cyclical work.
- Commitment to continuing professional development.
- Ability to use the appropriate IT tools to produce reports, documents, emails, including using Excel and Word to compile reports.
- Attention to detail when writing specifications, checking work and materials.
- A commitment to delivering high-quality work and maintaining the integrity of listed buildings.
- A good team player, with a flexible and collaborative approach.
- Self-motivated and organised, able to work independently.

Key Responsibilities:
- Manage building repairs and maintenance contracts, statutory inspections and contracts, remedial works and utility supplies to all the properties owned by Abbot’s Hospital.
- Provide our residents with an efficient and cost effective responsive (day to day) reactive maintenance service.
- Ensure appropriate cyclical, preventative and long-term maintenance plans are in place and all works are completed within the necessary timescales.
- Plan, design and coordinate minor refurbishment and modernisation schemes.
- Ensure, with the Warden, the Health and Safety of occupants, visitors, contractors and all other users of the properties owned by Abbot’s Hospital.
- Arrange and manage utility supplies (including water, gas, electricity, telephone and internet, TV licences)
- Assist with the management and forecast of annual spend, ensuring work is carried out within budget.
- Comply with Abbot’s Hospital’s Financial Regulations to ensure that expenditure is controlled, and all schemes are completed within financial parameters and on time.
- With the support of the Master, prepare and present reports to the Board of Governors
- Prepare briefs, specifications, drawings, schedules and other contract documents to enable competitive tendering for the cyclical maintenance schemes and minor building projects, ensuring that the design and maintenance of the property owned by Abbot’s Hospital meets legislative and health and safety requirements.
- For major works recommend and assist in the appointment of suitably qualified professionals to prepare specifications, drawings, schedules and other contract documents, to manage competitive tendering processes and to oversee the works.
- Assume the role of Client Representative for building projects and schemes including monitoring of the works, Health and Safety standards, forming the primary link with the Hospital’s architect, surveyor or other consultant on projects whose size and significance requires such involvement. Also ensure that acceptable quality standards of workmanship and performance are delivered by contractors.
- Ensure compliance with our legal and statutory obligations around the management of buildings and plant.
- Ensure the checking and maintenance of safety equipment including emergency lighting and any evacuation equipment
- Commission, organise and assess the work of contractors, monitoring their performance and checking invoices submitted prior to sign off and payment
- Recommend and assist in the appointment and supervision of relevant specialist consultants.
- Ensure reporting, logging and oversight of repairs and refurbishments.
- Undertake condition surveys of the properties owned by Abbot’s Hospital to prepare a fully costed and prioritised 5-year programme, for future maintenance & planned programme schemes.
- Ensure maintenance of an inventory of all equipment and fittings on site.
- Ensure the grounds are kept clean and tidy and landscaped areas are maintained.
- Ensure the cleaning of communal areas, supervising and monitoring external contractors as required
- Ensure reporting and monitoring of pest control issues
- Working with the wider staff team, ensure clearing of snow and gritting of pathways as required
